Little A.R.K. respects your right to privacy. This Privacy Notice explains who we are, how we collect, share and use personal information about you, and how you can exercise your privacy rights. What does Little A.R.K. do?
Little A.R.K. is a non-profit making voluntary group based in the United Kingdom, and initially set up in response to the COVID-19 outbreak to create and deliver essential equipment to NHS staff, care workers and other front line staff dealing with the Pandemic.
Some definitions
Everyone involved with Little A.R.K. is a volunteer that is generously donating time, supplies or both.
When someone is volunteering their time to perform organisation, coordination and/or administration activities for Little A.R.K., we call this being a “Volunteer Admin/Coordinator”.
When someone is volunteering their time to produce or procure supplies (such as material), and then donating them to Little A.R.K., we call this being a “Volunteer Member”.
It is important to appreciate that these definitions are not mutually exclusive, and you may fall under one or both of them at different times depending on the different activities that you are carrying out.
We call the end recipients of the products that we supply (e.g. hospitals, care homes and their workers) “End Users”.
The type of personal information we collect
We currently collect and process the following information:
- From volunteers, suppliers/makers of products, delivery people/transportation companies: Name, details of organisation as appropriate, personal address and/or operating address, email address and phone number, capacity of productivity per day/week/totals of products made and/or collected, and any special notes as appropriate.
- Financial data - accounts/funds available from donations/expenditure/receipts.
- From the end recipients: Name, details of organisation as appropriate, personal address and/or operating address, email address and phone number, details of stock received per day/week/details of products received and any special notes as appropriate.
How we get your personal information and why we collect it
Most of the personal information we process is provided to us directly by you for one of the following reasons:
- Because you are either a volunteer, supplier/maker of products, driver, involved in delivery/transportation, assembly, finance or are an End User, receiving products from Little A.R.K.
We will use the information to contact you with regard to providing products and for volunteers for administration with regard to those purposes.
This information is accessible only by relevant members of the Little A.R.K. group and any data processor (IT volunteer, company or software) also involved in assisting with that purpose. We may share this information with other members of the group for these purposes.
Our lawful reason for processing this information
Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:
- Your consent. You are able to remove your consent at any time. You can do this by contacting us.
- Little A.R.K. has a legitimate interest in processing this information.
How we store your personal information
Your information is securely stored on Google documents and shared with a select number of volunteers within the group.
We will keep this personal information until you request we delete it, or until the group ceases to operate.
International data transfers
Your personal information may be transferred to, and processed in, countries other than the country in which you are resident. These countries may have data protection laws that are different to the laws of your country (and, in some cases, may not be as protective).
Specifically, although we are located in the UK, our third party service providers (Google etc) operate around the world. This means that when we collect your personal information we may process it in any of these countries.
Data retention
We retain personal information we collect from you where we have an ongoing legitimate business need to do so (for example, to provide you with a service you have requested or to comply with applicable legal, tax or accounting requirements).
When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymise it or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.
Your data protection rights
Under data protection law, you have rights including:
Your right of access - You have the right to ask us for copies of your personal information.
Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.
Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.
Your right to object to processing - You have the right to object to the processing of your personal information in certain circumstances.
Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you. Please contact us using the details above if you wish to make a request.
